Now the contractor needs to know which calculation was approved, where each amount came from, and exactly what changed. This is where assembling a spreadsheet and managing an estimate diverge.

The spreadsheet is ready. Is the estimate?

Consider an illustrative estimate for finishing a room. The initial work list specifies 120 m² of wall area and a painting rate of 350 rubles per m². The line total is 42,000 rubles. You can check the multiplication in seconds.

Those two numbers, however, do not tell you whether the rate includes priming, surface preparation, and materials. They do not establish whether openings were deducted or the area was verified by measurement. Even a mathematically correct total leaves these questions unanswered.

If a measurement puts the area at 108 m², the same work at the original rate costs 37,800 rubles, a difference of 4,200 rubles. All figures in this example are illustrative; they do not represent market rates. The example shows why the source of a quantity can affect the result more than a neatly formatted spreadsheet.

In an AI task, separate confirmed information from open questions at the outset. If the scope of work or a price is unknown, leave that field blank until it is clarified. Otherwise, an assumption can easily be mistaken for a term the contractor is already prepared to offer the client.

AI tasks worth testing

Start with a limited set of work items: parse the list, standardize the item names, and prepare lines for transfer into an estimate. This task has clear inputs and an output a specialist can compare with the original.

A second trial is to compare two calculation versions and list the changes: added work, a different quantity, or a new price. Check that the comparison is complete. One missed line can cost more than all the time saved.

State the limits of the AI tool’s authority in the task itself: use only the supplied price list, do not guess quantities, flag uncertain matches as questions, and prepare the result for review. These are requirements for your workflow; test whether a particular tool actually follows them.

What is still worth paying for

When choosing software, look at what happens to the estimate after it has been created. A shared price list, a comprehensible change history, and a way to identify which version project participants accepted can all support collaboration. Check whether a particular service has these features.

A second criterion is how the calculation connects to subsequent work. An estimate supports discussions about the scope of work, purchases, and budget control. If employees must manually copy data into several places after each revision, an attractive document has not yet eliminated duplicated work.

A third criterion is control. Who may change prices? Can you restore an earlier version? Can you export the data and continue without one particular employee? These questions remain whether a person or AI filled in the lines.

How to compare the cost of two approaches

A subscription fee or the cost of one model request captures only part of the expense. To compare approaches, take several completed estimates and recreate them using identical inputs. Measure the time needed to produce a result ready for your usual approval process.

Record four figures: tool expense, preparation time, review time, and correction time. A working estimate of cost is the tool cost per estimate plus total staff hours multiplied by your internal hourly cost.

If AI produces a spreadsheet quickly but review takes longer than before, the gain has not been demonstrated. If repeated work decreases while each line remains verifiable, you have a measurable result. Test the ease of updating separately: change a quantity and a price, then track where manual steps are needed.

  5. Compare the total preparation and review time with your usual method.
