How to Choose a Telegram Alternative for a Team and Clients

Compare private, client and work communication scenarios, then record important decisions in the project.

How to Choose a Telegram Alternative for a Team and Clients

When choosing a Telegram alternative, consider who you communicate with and which decisions must still be accessible a month later. A feature list helps rule out unsuitable options. Privacy and access management matter for personal and internal discussions. Clients need a familiar channel. Work on a construction project benefits from a place where agreements, documents and photos are linked to the project.

Start by defining the scenario

One messenger is rarely equally convenient for every task. A team can discuss internal issues in a private channel, clients can write through the channel they already know, and project decisions can be recorded in the project. This arrangement separates day-to-day correspondence from important decisions and reduces the need to search for them in old chats.

Before choosing, check four things: who should be in the conversation, what data appears there, how to revoke access when an employee leaves, and where the decision history will remain. Encryption is useful alongside access rights, backups and a clear handover process.

Private messengers for a team

These services are suitable when internal communication requires message-content protection and careful data handling. First agree on the channel, onboarding rules and the access owner.

  • Signal. Messages and calls between Signal users are protected by end-to-end encryption. Registration requires a phone number that can receive an SMS or verification call.
  • Session. A phone number and email address are not required to create an account. Voice and video calls are available as a beta feature, and group calls are not available yet; choose a separate service for team meetings.
  • Threema. An account can be used without a phone number or email address. Before adoption, check the plan, team administration and compatibility with your devices.
  • Wire. A platform for secure team communication with cloud and on-premises deployment options. Before choosing, identify requirements for administration and data hosting.
When commercial terms or payments are discussed in a chat, assign an access owner in advance: who adds participants, who removes an employee, how a device change is verified and where the backup is stored.

Client communication channels

Choose a client channel based on the audience you actually have. WhatsApp, Viber, iMessage and other familiar apps can be convenient for short messages, while tasks and approvals should be recorded in the project.

  • WhatsApp. Works when clients already use it for quick messages. Decide in advance who responds on behalf of the company and how to preserve the history when responsibility passes to another staff member.
  • Viber. Works when active client chats already exist. Keep one primary channel for each project.
  • iMessage. Works for a small group using Apple devices. Choose a shared channel for a mixed-device team.
  • MAX. Use the service if clients and the team have already agreed on it. Before starting, check the current rules, supported devices and the features needed for work.

Switching apps alone will not create order. First explain where questions should now go, where the document is stored and who is responsible for approval.

Work platforms

Slack and Microsoft Teams help separate internal channels by project, role and notifications. Discord can suit distributed teams for voice communication. To record agreements, choose a project accounting and record-keeping system used by every participant in the process.

On a construction site, the key problem starts when information about a construction project exists only in messages. Then chats diverge, files get lost in forwards, and the decision history must be reconstructed manually. Keep approvals, cost estimate versions, work acceptance documents, photos and roles in the project alongside their context.

How to move without losing context

  1. Sort messages: keep everyday exchanges in the messenger and move decisions and documents into the project.
  2. Assign one primary channel to each project and stop using duplicate groups for new discussions.
  3. Move current agreements, documents and control points into the project system.
  4. Set roles and access-removal rules, then test them using a test employee account.
  5. Tell clients about the new process in one short message and keep a clear channel for urgent questions.

In the 101 App, you can manage events (Russian), cash flow (Russian), partner access (Russian) and work acceptance certificates (Russian) in the context of a project. Agree on photo reports separately with the team, then record in the project any decision reached on the basis of those reports.

If a team is choosing a new messenger, ask a second question: which agreements must become part of the project and be stored separately from the chat?
