How to Record Your PC Screen: A Step-by-Step Guide

Screen recording on a PC is useful in three situations: explaining a process to an employee, client or contractor; documenting a problem for support; and keeping a record of a conversation, payment or status in a service. A video shows the sequence of actions, helping the viewer follow what happened and reducing follow-up questions.

What should you prepare before recording your screen?

A screen recording can quickly become a video you would rather not send: notifications pop up, private chats remain visible, the pointer moves erratically and the sound cuts out. Spending two minutes preparing makes it easier to get a usable recording in one take.

First, decide exactly what you want to capture. For instructions, recording a selected area usually works well: there is less clutter, details are easier to read and personal information is easier to keep out of view.

Next, check your privacy settings and workspace. Minimize unnecessary tabs, close messaging apps and turn on Do not disturb while recording. If you need to demonstrate a menu path, open the relevant section beforehand so you do not have to search through File Explorer on camera.

• Audio: decide whether you need system sound, a microphone or both.
• Pointer: it helps in tutorials, but may distract viewers during a report demonstration.
• Resolution: 1080p at 30 frames per second is a useful starting point for most tasks.

How do you record with Snipping Tool in Windows 11?

In Windows 11, Snipping Tool can record video of your screen. It works well for a short clip when speed matters: open the app, select an area and record.

Follow these steps:

1. Open Snipping Tool using search in the Start menu.
2. Switch to Record at the top, using the video icon, and select New.
3. Drag a rectangle around the area to record. Check the system sound and microphone controls if you need audio, then select Start. A short countdown appears.
4. Finish by selecting Stop.
5. Save the file and check its location. Depending on your version and settings, recordings may also be saved automatically under Videos, in Screen Recordings.

For a tutorial, restrict the area to the app window and the part where the pointer will move. This makes details easier to see and can reduce the file size.

How do you record with Xbox Game Bar in Windows 10 or 11?

Xbox Game Bar is included in Windows and opens with Win + G. Its strengths are audio capture and fast keyboard controls. It is intended for apps and games; desktop and File Explorer recording are limitations to keep in mind when choosing a tool.

You can start from the panel or use the recording shortcut:

1. Open the app you need and click its window to make it active.
2. Press Win + G to open the Game Bar overlay.
3. In Capture, select Start recording, or press Win + Alt + R.
4. For narration, enable the microphone in the panel or press Win + Alt + M.
5. Stop recording with Win + Alt + R.

The file is saved under Videos → Captures. If you need all computer sounds, check Game Bar Settings → Capturing and select All under the audio recording options. How do you record your screen with PowerPoint?

PowerPoint is useful when the recording belongs in a presentation, or when you are already working with slides and want to insert the clip directly. It lets you record screen-related audio and the pointer without installing another screen recording app.

1. Open PowerPoint and select the slide where the video should appear.
2. Choose Insert → Screen Recording.
3. Choose Select Area, or press Win + Shift + E. To select the whole screen, press Win + Shift + B.
4. Check Audio and Record Pointer, enabling them as needed.
5. Select Record, then Stop when you finish.

How do you record your screen with OBS Studio?

OBS Studio is worth installing when screen recording becomes a regular task: training, team procedures, client demonstrations or troubleshooting. Initial setup takes a little longer, but you can then reuse the configuration quickly.

Create a scene for screen recordings and keep it as your reusable setup:

1. Install OBS Studio and open it.
2. In Scenes, create a scene named Screen recording.
3. In Sources, add Display Capture for a screen or Window Capture for one window.
4. In Audio Mixer, check Desktop Audio for computer sound and Mic/Aux for your microphone.
5. Open Settings → Output and choose the recording format. MKV is a safer choice for long recordings because an interrupted session does not normally render the entire file unusable. If you need MP4, use File → Remux Recordings afterward to change the container without re-encoding the video.
6. Select Start Recording, then Stop Recording.

For software instructions, aim for one video per result. If you need to show three different menu paths, record three short files and give each a descriptive name.

Where are recordings saved, and how can you tidy them up quickly?

A common mistake is leaving the file with a name such as Capture 2026-02-11 12-40-10. A week later, you may not remember what it contains. Rename it immediately: 2026-02-11_service_payment_error.mp4 or 2026-02-11_how_to_approve_a_report.mp4.

The usual Game Bar folder is Videos → Captures. Snipping Tool may use Videos → Screen Recordings, depending on its settings; check the save location in the app. OBS uses the path selected in its settings. Create a dedicated folder for screen recordings so you can keep the files together.

A quick cleanup does not require a full editing session:

• Trim the beginning and end where you are finding buttons or getting ready.
• Check volume: your voice should remain clear above system sounds.
• Review the entire frame for personal information.

For messaging apps, aim for about 30–90 seconds where possible. Send longer recordings as files, explaining what to watch and giving the timestamp of the key moment.

Common problems: no sound, a black screen or stuttering

No sound in the recording. Check both the recording app's audio settings and Windows microphone permissions. Game Bar has a separate microphone switch that is easy to overlook.

A black screen instead of the window. Possible causes include protected content, the capture method selected in OBS or access restrictions. For an ordinary unprotected window, try switching between Window Capture and Display Capture. Some services restrict capture, so do not assume every page or video can be recorded.

Stuttering video. Reduce the frame rate to 30, lower the resolution, close demanding browser tabs and save to a drive with sufficient free space. In OBS, check the encoder: a supported hardware encoder can reduce the load on the processor.

How can you use screen recordings with clients and your team?

A PC screen recording can make an explanation easier to deliver: record 40 seconds, send the clip and get confirmation. This is useful on projects with frequent approvals and small questions that would otherwise require a call. The same approach applies to reporting: photos, video, short explanations and a clear structure.
